(Google Sheets)
Why it happens: Occurs when the target range payload exceeds Google Sheets transfer limits, calculation memory limits are reached, the source sheet approaches the 10-million cell quota, multiple nested IMPORTRANGE functions query concurrently, or cross-sheet authorization was severed.
How to fix:
  1. Open the target spreadsheet and verify that access has been explicitly granted by hovering over cell A1 and clicking "Allow access".
  2. Wrap your IMPORTRANGE inside a QUERY or FILTER formula to reduce transferred payload size (e.g. =QUERY(IMPORTRANGE("URL","Sheet1!A:Z"), "SELECT Col1, Col2 WHERE Col1 is not null")).
  3. Break large 50,000+ row data imports into separate smaller tabs or date-ranged chunks rather than importing an entire workbook in a single formula.
  4. Check if the source workbook has reached the Google Sheets 10 million cell limit or has excessive volatile functions (NOW, TODAY, RAND).
Prevention: Avoid chaining multiple chained IMPORTRANGE calls (Sheet A -> Sheet B -> Sheet C). Instead, query master data directly from the original source.
(Google Sheets)
Why it happens: A formula directly or indirectly refers to its own cell coordinate (e.g., placing =SUM(A1:A10) inside cell A10). Google Sheets cannot determine calculation order when a cell depends on its own output.
How to fix:
  1. Inspect the formula in the flagged cell and ensure the range argument excludes the formula cell itself (e.g., change =SUM(A1:A10) in cell A10 to =SUM(A1:A9)).
  2. If intentional iterative calculation is required (e.g., loan amortization or financial convergence modeling), enable iterative calculations via File > Settings > Calculation > Iterative calculation > On.
  3. Audit ARRAYFORMULA references across adjacent columns to ensure an array formula does not spill into another formula that calculates back into the source range.
Prevention: Place summary formulas outside or above data rows (e.g. in row 1 or a dedicated summary header tab) rather than directly below expandable data tables.
(Google Sheets)
Why it happens: Mathematical functions (SUM, AVERAGE, MULTIPLY, or arithmetic operators like + or *) encountered a cell containing string text, spaces, or numbers formatted as plain text.
How to fix:
  1. Highlight the column and select Format > Number > Automatic or Number (1,000.12) to clear text formatting.
  2. Use the VALUE() function to convert numbers formatted as text strings back into true numbers: =VALUE(TRIM(A2)).
  3. Check for hidden non-breaking spaces imported from external web pages and strip them using =SUBSTITUTE(A2, CHAR(160), "").
  4. Sanitize data prior to calculation using =VALUE(TRIM(A2)) * VALUE(TRIM(B2)), or audit for invalid text with =IF(AND(ISNUMBER(A2), ISNUMBER(B2)), A2 * B2, "Format Error") instead of letting text coerce incorrectly.
Prevention: Enforce Data Validation on numeric entry columns (Data > Data validation > Criteria: Number) to prevent team members from entering alphabetical notes in price or quantity cells.
(Google Sheets)
Why it happens: The lookup key does not exist in the first column of the search range, or hidden trailing spaces, mismatched data types (e.g. number 102 vs text string "102"), or case-sensitivity differences prevent exact matches.
How to fix:
  1. When trimming an entire lookup column range in Google Sheets, wrap in ARRAYFORMULA or use MAP so TRIM evaluates across all rows: =ARRAYFORMULA(XLOOKUP(TRIM(A2), TRIM(Source!A:A), Source!B:B, "Not Found")) or =XLOOKUP(TRIM(A2), MAP(Source!A:A, LAMBDA(c, TRIM(c))), Source!B:B, "Not Found").
  2. Ensure data types match. If the lookup key is stored as text while the database has numbers, convert it with VALUE(A2) or TEXT(A2, "@").
  3. Switch from legacy VLOOKUP to modern XLOOKUP with built-in missing value handling: =XLOOKUP(A2, RangeKey, RangeReturn, "Record Not Found").
  4. Verify the search type parameter in VLOOKUP is explicitly set to FALSE (exact match) instead of TRUE (approximate match).
Prevention: Always use exact match lookups (`FALSE` in VLOOKUP or mode 0 in XLOOKUP) and standardize master SKU/ID formatting across all connected spreadsheets.
